Appointment Letter

 

Dear Sir / Madam / Miss,

We are pleased to inform you that you have been selected to the post of  Reporter of Development   Division in our  Institute  subsequent to  the interview  which  we had with with you. Accordingly your services  will  commence  with effect from ………….  and it  will be effective  under the following conditions.

 

1 –

Salary

 

Your consolidated  basic  salary will be Rs. 20,000/- ( Twelve Thousand )  We have added Budgetary Relief Allowance of  Rs. 2000/- to your salary as per the   Budgetary Relief Act.

 

 

2 –

Probation Period and Confirmation

 

Your appointment will be  subject to a probation period of  six months.  During the probation period,  in the event  your  services are satisfactory  you will be  confirmed in your appointment  in writing.  In the vent  during this period your  services are not satisfactory  and   Institute is not satisfied with your conduct ,  extension of probation period or  without   prior notice your services  would be   discontinued.

 

 

3 –

Duty times

 

Your  service shift  will be switching  from weekly basis.   This is from Monday to Friday  8.00 a.m. to 5.00 p.m.  or 7.00 a.m. to 4.00 p.m.  and on Saturdays  8.00 a.m.  to 2.15 p.m.   or 7.00 a.m. to 1.15 p.m.  This duty time   could be  changed  on the discretion of the management.

 

 

4 –

Overtime

 

From time to time  on the   business requirements of the Institute,   you will have to work overtime and for this purpose  your cooperation is  sought.  Overtime payments  will be made  as per the  relevant rules and regulations.

 

 

5 –

Leave

 

You are entitled for  leaves as per the   wages board or  Shops and Office Act  whatever  you are subject to.

 

 

6 –

Employees Provident Fund  and Employees Trust Fund

 

8%  subscription  of your earnings  from you and  12% subscription from the Institute   will be credited to the Employees Provident Fund.

3% of your salary will be credited to  Employees Trust Fund  on behalf of you from the Institute.

 

 

7 –

Gratuity  Payment

 

You are entitled to gratuity payment  in the event your services are    with  the Institute    more than  5 years  continuously. When you are  leaving the Institute  so employed  each year of service you have completed  half of the monthly salary   will be calculated  and  gratuity payment  will be made  accordingly.

 

 

8 –

Retirement

 

The age of retirement is  (  completion of 55 years for males and  50 years  for  females )  reached   you would be retired from the Institute.

 

 

9-

Termination of Services

 

(1)

Your services can be terminated  onthe  following grounds;

 

 

 

– a

Reaching the retirement age  as per indicated  above  ( 8 )

 

 

– b

Unsatisfactory services during the probation period.

 

 

– c

Contravening orders, instructions, discipline  of the Institute and  engage in activities of  misbehavior.

 

 

– d

Not reporting to  duty without informing the Institute

 

 

– e

Inability to carry out duties entrusted   on the ground of ill health

 

 

– f

Engaged in a business  or activity  harmful  to the institute

 

 

– g

Imprisonment  after convicting by a Court of Law.

As well

 

 

 

– a

During your probation period  even  giving one day notice or

 

 

– b

After confirmation  one months prior notice  on your desire   you can resign  from the services.

Discipline of the Institute

 

( 1 )

Standing orders, Disciplinary  rules and  common instructions  of the Institute  should be adhered  at all times.   In the event  there are any changes in rules,  regulations  and common instructions issued by the Institute  you will be given  prior notice.

 

 

 

 

 

( 2 )

You  have  to adhere to the fair orders  given by the chiefs / authorized officers.

 

 

 

 

 

( 3 )

You should not carry out private  business with  the staff and  customers of  the institute  and  you should not misuse for your personal needs  the  property owned by the Institute. Further  you should not engage in  institutional  financial activities  without  having permission from the institute.

 

 

 

 

 

( 4 )

You will have to make payments for the employer in the event you have  made lose   or  damage to the institute  due to your  negligence.

 

 

 

 

 

( 5 )

You should not disseminate  information causing  blemish to the reputation of the Institute  or  encouraging such activities  is a misconduct of grave nature  and  in the event such misconduct is proved  without  giving   time or   paying  any compensation   Institute will take necessary steps to  terminate your services.

 

 

 

 

 

( 6 )

Stealing   property of the Institute , keeping  them with you  deceitfully , engage in  hostile activities   and encouraging such activates are  misconducts of grave nature.  Engagement of such activities  are reasons to be terminated from services and  in addition  legal action will also be instituted against you.

 

 

 

 

 

(7)

Always you have to  conduct  yourself in decent manner  and you should be polite and well mannered  towards  your  all superior officers, male and female workers  as well as  all customers who have business dealings with  the institute.

Transfers

 

 

 

One position to  another position of the Institute  or from one duty to another duty or one division  to another division  or one Institute of the group to another Institute  you  can be transferred  and under such condition have been granted this appointment and  As a result of such transfers  if there is no special notification  there will be no  any change in your service conditions or salary.

Change of Information

In the event   any changes occurred  in the information you have provided to the  Institute  you have   to inform them  immediately to the  human Resources division in writing.

Confidentiality

 

 

You have to  strictly  protect the confidentiality of the  business  activities of the Institute. Whatever   information  which is confidential for the Institute or whatever information you  will come to know in the course of your duties  or   outside  person or  incorporated / non in corporate  company should not be disclosed without prior permission from the management.

Duty

In relevant to the position you are holding  you have to carry out   the duties  and responsibilities entrusted to you by the management  efficiently and diligently  and without any delay. Until   you are  in the services of this Institute   having business dealing with  any person or  Institute  which are seeking your  services  with the expectation of  some yield ,  dealing with  competitive  business institutes  should not be done by you.

 

In the event you agree to the  facts  indicated in this  appointment letter  sign the duplicate of this  appointment letter and hand it over to us.
